Scanning Directly to Google Docs

Our link to Google Docs feature has been getting a lot of hype lately so we just wanted to remind you the two easy ways OfficeDrop lets you scan directly to Google Docs. Whether you want us to do it, or you want to do it yourself, OfficeDrop gets your paper out of those filing cabinets and into Google Docs.

Scan Directly to Google Docs (2 Ways)

1. Have Us Scan It

Hopefully you’ve heard that OfficeDrop provides mail-based scanning either in bulk, or with monthly scanvelope submission. When you have us scan, you have the option of automatic upload to our online digital filing system. Now that you can link your OfficeDrop account to Google Docs, you can configure your OfficeDrop account to automatically send every page we scan to your Google Docs account. Keep in mind that because you scanned with OfficeDrop, every document is converted to text-searchable PDF, ready to search on Google Docs.

2. Self Scan with ScanDrop

With our increasingly popular ScanDrop scanning software (free for download), you can turn your own personal scanner into a direct portal to Google Docs (*see below for compatible scanners). Configuring your scanner with ScanDrop allows you to view, edit, delete, reorder, and upload any scans right to Google Docs - all from the same intuitive application. You can even choose which Google Docs folder to upload to, and name your scans. However, keep in mind that documents sent directly to Google Docs through ScanDrop are not made text-searchable. New OfficeDrop Website is Live!

We are excited to launch our new and improved home page for OfficeDrop! (This new site does not change, in anyway, the application that users experience after they’ve securely logged into their OfficeDrop accounts.)

We hope that the new site will:

  • Make it easier for potential customers to understand what it is that we do
  • Be simpler to navigate for new and existing customers
  • More quickly/intuitively let customers find help content and our contact information
  • Eventually make it easier to understand and sign up for our pricing plans
  • Be a lot easier for OfficeDroppers to update/get new content and video onto the site for visitors

We know that there are a few images on a few pages (like our old newsletter pages) that are not loading correctly right now. However, we believe that all major functions, images, buttons, etc. are working (hopefully better than before!). If you see something not working on the new site, please send an email to support (at) officedrop (dot) com.

OfficeDrop Slips Into A Fresh New Website

New Site Design

Just a heads up - we’re going to be pushing a new site design in the next few days/ over the weekend, so don’t be worried you’re looking at a different OfficeDrop when you see the new styles.

We’re still the same convenient, secure document scanning and document management service, now with a fresh coat of paint.

As with the name change, the difference is purely superficial - no changes to service, management, features, pricing, etc. Hope you enjoy the new design and, as always, we look forward to serving all of your document scanning and document management needs.

Famous for providing tips and guides for becoming a more productive person, Lifehacker’s recent article, The Step-by-Step Guide to Digitizing Your Life outlines effective methods of digitizing music, videos, photos, and, of course, paper.

Listen to Prasad’s Radio Interview

You might have heard about OfficeDrop CEO, Prasad’s radio interview last week; he was interviewed by loyal OfficeDrop customer, Greg Skidmore, on his AM1490WGCH radio show, Greenwhich Entrepreneurs.

Greg asked some great questions and Prasad fielded them all with helpful answers. A few of Greg’s questions (paraphrased):

  • What has changed to allow companies to offer web services at a lower price?
  • How do you find the right balance between technology and human interaction with respect to customer service?
  • What was your youth like and what inspired your entrepreneurial spirit?

Use OfficeDrop to Embed PDFs in Your Website HTML

Did you know that you can use OfficeDrop to embed your documents on a webpage? It’s simple.

If there’s a document you want to share via a webpage, you can just paste some code into the HTML and you’ve got a webpage with an embedded OfficeDrop PDF document - just like this one here (how-to below):

Pretty cool, huh? Just another new feature we’ve provided to help you get the most out of your documents. (Don’t worry, the size is only restricted so you can see our handy Blog navigation on the right).

How did you do that?

If you’ve ever embeded a Youtube video, you’ll be familiar with the process.

  • To embed an OfficeDrop document’s URL on your site, find the document you want to publish, and from the list view click the “More” dropdown menu and then select “Embed URL” (you can also select this button from the individual document view).
  • Then, agree to the disclaimer, and click “Publish.” After that, OfficeDrop will provide you with a widget code that you can paste into your site’s HTML.
  • Be sure to change the height and width of the image to your preference before copying the code.
  • All that’s left is to copy paste into your site’s code, and your document will be on display.

You love searching your documents and adding labels in your OfficeDrop account, but are you using the online document management system to its full potential? OfficeDrop is packed with productivity boosting features - some of which you may not even know exist. To help you get the most out of your online OfficeDrop account, here are 5 of the best features that you might have overlooked.

Phrase Search
This feature was added recently, and it takes document retrieval to a new level of accuracy. Just like you do with Google, you can put quotes around a search term to indicate you only want results containing those words in that order. By searching “expense report,” with quotes, you don’t have to see documents containing only one of the terms, saving you a lot of time finding the document you want.

Expire a Share
If you don’t already know, you can easily share documents with friends and co-workers. For detailed instructions on sharing, see our tutorial video. If you already know about this feature, you should also know that what you giveth, you can taketh away. Meaning: any document share can be expired at any time, assuring that you are always in control of your documents.

Folder Share
Ok, so you already know you can share documents, but did you know you can also share an entire folder? The same way you can share a document, limiting access, privacy etc, you can also share a folder. To do this just click the small arrow next to the folder you wish to share, select “share,” and specify sharing options. Of course once you share a folder you can expire that share at any time.

Upload to Folder
Uploading from your desktop is fast and easy, but did you know you can upload files directly into a folder of your choice? By going back to that little arrow next to the folder you can access that folder’s context menu and select “Upload Files.” As you might guess, upload documents from there and they will be uploaded right into that specific folder.

Downloaded PDFs Stay Text-Searchable
A lot of people ask “When I download a PDF to my desktop, is it still text searchable?” When they do, we’re happy to answer “They sure are.” Once a document is scanned into OfficeDrop, it is converted into a text-searchable PDF automatically unless specified otherwise. That way you can download to your machine, open it with any PDF reader and you will still be able to search that document.

OfficeDrop CEO in Boston Globe and Forbes

Prasad in the Boston Globe

Prasad Thammineni, OfficeDrop co-founder and CEO, was recently quoted in the Technology section of the Boston Globe by tech journalist Scott Kirsner. Prasad spoke about Apple’s design, marketing and business strategy and how OfficeDrop has tried to incorporate some of these successful ideas into our strategy. As quoted in the Globe, Prasad says:

Prasad Thammineni, founder of the Cambridge-based document scanning service OfficeDrop, says he has modeled his start-up’s customer service strategy after what he has experienced at the Genius Bars inside Apple’s retail stores. “Our customer service reps have a lot of freedom to make sure the customer is happy,’’ Thammineni writes via e-mail. “They give out coupons, storage credits, and more.’’

Prasad also had a fun weekend playing around with his new iPad - and chasing down the UPS driver to make sure he got it delivered to our office on a Saturday. Here Prasad Thammineni is mentioned in Forbes:

People could also “pre-order” iPads online to arrive Saturday. Prasad Thammineni did just that, but had to chase the UPS ( UPS - news - people ) guy down the block from his office in Cambridge, Mass., to get his iPad.

After playing with it for a few hours, his impressions were mostly positive. Typing on the on-screen keyboard wasn’t as comfortable as using a laptop with a regular keyboard, and Thammineni said he found himself using several fingers but not touch-typing normally. Still, he said, it was much easier to use than a Kindle keyboard.

But the weight of the device might keep him from typing on the go. Thammineni said that after about two minutes of holding up the device with one hand and typing with the other, it got too heavy, even at a mere 1.5 pounds.
