Pixily on your iPhone – View Your Paper on Your Phone

There’s an iPhone-optimized website for that…

So it’s not technically an app, but OfficeDrop provides an iPhone optimized mobile web page, allowing you to access OfficeDrop’s best online features anywhere you go.  Access your paper on your phone! In addition to the optimized page, users can always use their iPhone to snap a camera-phone picture and email that to OfficeDrop for conversion to your online account.

From the iPhone mobile site you can search all of your documents, and browse documents by label.

To access the site, simply go to i.pixily.com on your phone’s browser, enter your login information, and away you go. Use the interface just like you would with your standard OfficeDrop online account.

Don’t forget to click the favorites (+) button at the bottom of Safari and then “Add to Home Screen,” so you can see a shortcut to your homescreen, and access your online documents as quickly as possible.

OfficeDrop’s document management service is all about information. We provide very easy ways to capture information (including paper documents), and even easier ways to access it and act on it. Often times, there is maximum context associated with the information when you are actively dealing with it the first time and then it is the context that helps us retrieve the information later on. Context is what provides the vivid details and lights up our neurons later on when we need to access that information from our memory. This is why Context is an important aspect of the Getting Things Done methodology too.

So, how does this matter to you when using OfficeDrop?

When sending emails to your OfficeDropmail email account, you can now specify the folder that you want to move the attachments (or the email itself) to and can also specify what labels you would like to apply to those documents once they are processed in to your OfficeDrop account.

Why is this powerful?

It is powerful because, at the time that you forward the information is when you exactly know how you want to organize it. You don’t have to log back into the system later on just to organize your documents. Also, if your clients, partners or vendors are sending documents to your pixily account, you can ask them to specify the folders and make it easy on yourself :-)

How does it work?

To move the email attachments (or the actual body itself) to a folder called “Customers/Acme-Corp”, you just have to specify #Folder: Customers/Acme-Corp in the subject line. If the folder structure already exists, your documents will be moved to that folder and if not, those folders will be created for you. Similarly to apply the labels “Invoice” and “2009″ to those documents in the email, you can specify #Label: Invoice, 2009 in the email’s subject line. We accept most known variations such as #Folders, #Labels etc,.

But how do I know what folders and labels I have?

We understand it is not easy to keep track of this all the time. So we have given you a couple of easy ways to save a copy of your folder and label list. From the Folder Actions Menu and the Label Actions Menu, you can save a PDF version of your folder and label list, or you can send an email with your folder and label list.

Introducing Folders and Filters in Pixily

We have to admit that we initially resisted it, but true to our culture of being customer-driven, we are introducing Folders in OfficeDrop. Yep, as of today, You can pretty much do all the good stuff with folders(create, delete, rename, organize, etc,.)  that you can also do in your PC or Mac.

Folders:

Folders act much the same as how they do in our desktop computers. Clicking a folder opens the folder to display the documents in that folder. You can move folders around using drag-drop, and share folders. When you share folders, any time you add or remove documents from those shared folders, the recipients automatically see the updated version of your folder. And ofcourse, you can expire the share if you would like.

Restoring deleted folders from trash, and moving uploaded documents to a folder (while they are being processed) are conspicuous by their absence and we are working to fix that. Stay tuned.

Labels:

The current labels functionality largely remains the same, with one exception. All the label specific actions can now contextually performed right from the Labels display, rather than from the Organize tab.

Search and Filters:

Our powerful content search functionality got even more juice. After searching for a term, you can now filter the results further by viewing only those documents that belong to a folder, contain a label (or both). You can get more restrictive or less restrictive using the “Any” or “All” filters. You can keep adding folders until you narrow down or clear them all.

Ofcourse, filters work outside of search too. So, for example, you can find out all the documents that are in the “Paperless LLC” folder and have the label “2008″ in them.

UI Refresh:

We have also made some UI refreshes.

  • The Entire UI is more (jargon alert!!)  ”AJAX”-ified. What this means is that we dont have to wait for pages to refresh, and provides for a more richer experience. For example, when I am viewing the list of all documents that are not labeled and apply a label to a list of documents, those documents are now removed from the list. This is great when you organize documents periodically by applying labels to them or moving them to folders.
  • The “organize” tab and the “share” tab have been replaced with the same functionality offered from the “Labels” and “Shared Items” menus.
  • The freed up real estate on the top has now made way to the Search bar.
  • Addons, Email preferences, which were all under the account page, have been separated out into a page of their own called “Tools”. (If you read into this that we are going to introduce more such tools in the coming months you would be absolutely right :-)

Remember Everything, including paper, with Pixily and Evernote

Exporting your scanned, uploaded and emailed documents from OfficeDrop to Evernote automatically synchronizes those documents to the Evernote desktop client (available for both Windows and Mac) and to your iPhone. Like other documents in Evernote, the contents are made searchable.

Configure your Pixily account to send documents to Evernote

Use this step by step approach to remember everything, including paper, without the gruntwork of scanning.

  1. Sign up for your OfficeDrop Account
  2. Sign up for your Evernote account
  3. Authorize OfficeDrop to access your Evernote account.
    1. Go to the Add-ons page in your account settings:
    2. Authorize evernote Click the Authorize Button in Evernote (You may have to login to Evernote)

    3. Once you have authorized, you may also use this page to revoke the authorization at any time. Additionally you can also specify the default notebook to which you want your documents sent to.

    4. Send Documents: From the snippet view or from the page view of the document viewer, you may now send the documents to evernote. Select Send to Evernote as shown below and select the notebook. Be default, only the first page of the document is sent to Evernote. You may also optionally send the entire document.

    5. Accessing from EvernoteThe documents and their labels are now available in Evernote web as notes and tags. Introducing Pixily Annotations: Virtual Sticky notes on paper documents

At OfficeDrop we try to retain all the ease and convenience of paper while eliminating the clutter. The snippet view came out of this type of thinking and based on our analyses of how people try to find information by shuffling through a stack of  paper. Today we are happy to announce another goodie that emulates how we currently use paper: the ability to annotate.

You can now add “sticky note” style annotations to any portion of a page, from within the page view of that document. Click on Add Annotation, Drag and drop the region of the page where you would like to add the annotation and type away. In addition to moving and deleting the from the page, you can also hide them all. Try that with sticky notes!

Here is a real-life example of annotations at work. I had to call customer service of our vendors, to dispute an over-billed amount. While I was on hold with the service rep, I logged in to my OfficeDrop account, looked up my account info, gave her all the necessary details, and when she gave me back a confirmation code for the refund, I could make a note of it right there in the document.

One of our goals at OfficeDrop is ubiquitous capture. We constantly add support to more file formats and the latest in that list is support for Word 2007 and Excel 2007 (.docx and .xlsx). Here is a list of updated supported formats:

With support for these files with extension (.docx and .xlsx) and Open Office files we can now support 20 file formats and extensions. Expect .pptx formats to be supported in the coming months. Pixily iPhone Interface: The other side of ubiquitous capture

As we work on realizing our dream of ubiquitous capture, we are also making strides towards Ubiquitous Access – The ability to access information anywhere, anytime. Now you can access information on the go, using your iPhone. We are announcing i.pixily.com, an iPhone optimized version of the OfficeDrop app that you love. The iPhone version currently supports the two most needed features that you would need on the go. These are but the start of many more exciting features in this front.

  • Search (Of course! we would be nothing, if we are not about Search, isn’t it?). Like the browser interface, you can search for contents, label or name
  • Browse (You can browse documents by their label)


You can access the iPhone optimized version of OfficeDrop at http://i.pixily.com. And remember to add it to your iPhone home screen using these simple instructions:

  1. Launch Safari on your iPhone and Browse to i.pixily.com

  2. Click the Favorites (+) button at the bottom of Safari and then click on the Add to Home screen button

Minor enhancements to Email

We have a couple of incremental enhancements now to the Email functionality that we think you ‘ll find useful.

  1. You can now allow emails from domain. Previously, you could allow emails from anyone or allow from individual email addresses. Now you can allow emails from anyone in a specific domain. This is very handy if you are a small business using OfficeDrop to share and collaborate on documents with your clients and business partners. Just add their email domains to your preferences and anyone from that company can send you email. Nifty, isnt it?
  2. The subject line of the email became the name of the document created from the email body. Now we automatically strip out typical prefixes such as “Fwd”, “Re”, “RE” etc,. to have more readable document names.

Like they say, it is the little things that make a big difference to usability and perception.

Secure shredding now offered by Pixily

We have been piloting another frequently requested feature and now it is official. When you now send in your Secure ShredOfficeDrop Scanvelopes, you may choose to have their contents secure-shredded by OfficeDrop. Your documents will be shredded approximately one week after your receive the email confirming that your documents have been digitized by OfficeDrop, thereby giving you adequate time to verify and ensure that all the contents are in your account. The shredded pieces are all “micro-cut” to provide maximum security (as opposed to just “cross-cut”).

All you need to do is to check the box in the back flap of the Scanvelope, as illustrated below:

By checking the box, you recycle paper that you are not otherwise recycling. To quote The Green Wikia, one ton of paper made from recycled fibers instead of virgin fibers conserves:

  • 17-31 trees
  • 60 pounds of air pollutants
  • 4,000 KWh of electricity
  • 7000 gallons of water
