DocketPort Scanners

OfficeDrop has now published instructions on configuring your DocketPort scanner on Windows and configuring a DocketPort scanner on the Mac in the OfficeDrop help section. So, if you are trying to use your DocketPort to scan to Google Docs, Evernote, OfficeDrop or the cloud, ScanDrop is there to help you!

OfficeDrop’s Paper-to-Go Android App Now Available for Download

We are very pleased to announce the launch of OfficeDrop’s newest mobile app, the OfficeDrop Paper-to-Go Android App! OfficeDrop’s Android App allows Android users to simply snap a photo of a paper document and scan it directly to the cloud. Within the app, users can organize, search, share and access documents from anywhere with OfficeDrop’s cloud filing cabinet. Also available for iPad, OfficeDrop Paper-to-Go can now be downloaded through the Android Market (https://market.android.com/details?id=com.officedrop.applicationactivity&feature=search_result) and will soon be offered through the Amazon App Store.

B. Document Processing Activity

See the current status of all your paper and digital files. You can check the status of your most recent scanvelope, or get a list of your most recent document uploads, which folder they’re in, and the upload date.  The document names and scanvelope tracking IDs are click through links that allow you to access those particular files immediately, without having to go through the Documents tab.

C. View Documents

Use this section to get directly to your documents quickly and easily. Use the click through links to go directly to your document queue, your newest documents, your Items Not in Folder, or your Favorites folder.

D. Addons Activity

Manage your OfficeDrop integrations directly from the Addons Activity section. You can view the docs you’ve sent to other cloud services like Evernote and GoogleDocs, and access them directly using the click through link file names.

From this section, you view all actions performed in your account as well as across any sub-users if you are a multi-user account administrator.  You’ll see what user created which folders, who uploaded which documents, and all other actions performed across your OfficeDrop account. Instant Cloud Actions

Act on your cloud documents instantly with OfficeDrop’s new Instant Action feature!

cloud_dashboard_officedrop21Waiting until your documents have been completely OCR’d before you can access them is a thing of the past- you can now download, share, and access your documents even before they’ve even processed completely through OfficeDrop’s cloud storage system.

How do Instant Actions work?

This new functionality allows you to act on your documents, even if you can’t text search them yet. When documents process through OfficeDrop’s system, it can take a few minutes before they become fully text searchable PDFs. You used to have to wait for this processing to finish before you could share your documents.

But you no longer have to wait to view, share, or download these files with our cloud Instant Actions! When a document has been uploaded, it will show under your Documents tab with a small red magnifying glass symbol in the upper right hand corner. This lets you know that although the document isn’t text searchable yet, it’s ready for your use. You can immediately view the document, share it, download it, and perform all normal actions upon it (with the exception of search). Once the document has completely processed through our system, the red symbol will disappear and your document can now be text searched.

How are Instant Actions helpful?

Say you have an invoice that you need to get to a client  quickly. You upload the invoice to OfficeDrop but don’t want to wait for it to be completely OCR’d before you share it. You’ll see the document under your Documents tab with the red magnifying glass symbol, indicating that while you can’t yet text-search this document, you can interact with it. Select ‘Share’ and your client can then access and download the invoice, whether it has completely processed through our system or not. This cuts down on wait time between when you upload your files and when you can manage them. When you’re in a rush, OfficeDrop’s instant actions allow you instant access. It’s your information- use it when you need it.

It’s 8:00- do you know where your scanvelopes are?

You asked and we listened! Introducing up-to-the-minute envelope tracking from directly within your OfficeDrop account. See exactly when we receive your scanvelopes here at our facility, when they’re being processed, and when they’re either on their way back to you or to our shredders. No more wondering if your documents have been received or when they’ll be ready- with our new envelope tracking tab, all the information is at your fingertips.

Using Envelope Tracking

To track your scanvelopes, simply click the Account tab from within your OfficeDrop account. In the menu box to the left, select the Envelope tracking option. Here, you can see all scanvelope tracking codes currently associated with your account, and the status of the contents of each of these individual scanvelopes.

You can sort the results by stage as well.

Finally, you can use envelope tracking to quick find the group of documents that were scanned in each envelope. By clicking on the specific envelope you will be taken to the documents that were scanned in that particular envelope.

Cloud Dashboard

OfficeDrop’s new dashboard, that gives our users a view into their cloud service, has so far been very well received! Here are a few of the highlights on how the OfficeDrop cloud dashboard works:

Accessing your cloud dashboard is easy. When you first log in you’ll see the dashboard automatically. You can also get to the dashboard at any time by clicking on the “dashboard” tab at the top of your account.

Cloud dashboard overview. The dashboard provides several great views into the data that you have managed in your OfficeDrop account.

cloud-dashboardOn the left, you will see your recent document processing activity, including the documents you have mailed to OfficeDrop to have scanned and the digital files that you have uploaded into the account.

In the center, you will have quick access to your documents, including your favorites. But remember, if you push the “documents” file tab at the top of the page you will go back to the traditional OfficeDrop login.

On the right, you can see the “addons” that you have linked with your account. Here is where you can see what documents you have pushed to Google Docs, Evernote, etc.

Our clients spoke and we listened – people want to use apps to manage their cloud-based data! Since the introduction of ScanDrop, our scan to the cloud scanning software, patterns of how users submit their paper into OfficeDrop’s system has totally flipped from mainly uploading from the website in Q1 to larger than 50% email and ScanDrop submission in October.

The chart to the right shows how clients have been submitting digital files into the OfficeDrop’s digital filing system. (Note that we are excluding files submitted into the system by our document scanning service!)

Wired Magazine was onto something – the web seems to not the preferred way to get data into the cloud!

Managing Distributed Teams with Enterprise 2.0

fiercecontentmanagementI recently came across an article on Enterprise 2.0 and “the disconnected knowledge worker” by Ron Miller of Fierce Content Management. Ron’s thesis is that new collaboration tools can help keep distributed workforces in close contact, promote team building and enhance efficiency.

I 100% agree!

OfficeDrop’s team is in several time zones and we use a variety of tools to manage our company. We even use enterprise 2.0 tools to manage our scanning center – even though it is not distributed, we have a couple of shifts of workers and need to make sure each shift has all the information they need to successfully complete projects for our clients.

We also use our own tool to manage relationships with our investment group, bookkeeper and lawyer. Cloud content management + distributed scanning and online cloud document storage really help keep us on the same page. When we scan a document into OfficeDrop’s online storage (or email it to the cloud), we pick specific folders that we have shared with our service providers, like our accountant. At the end of the month, she knows to look in those folders for supporting documents that help her close our books.
