OfficeDrop iPad App Review

Brooks, the document scanning and going paperless expert over at DocumentSnap, recently reviewed OfficeDrop’s iPad app. He gave the app a solid run through, pointed out a few items he’d like improved and did a great job taking screenshots of the various OfficeDrop iPad app features in action. You can read the review, called “Exploring the OfficeDrop iPad App” here.

It feels great when customers write nice things about us! As the marketing person here at OfficeDrop, I work hard with my team to get reporters to notice us. But when actual paying customers take the time out to write positive reviews of OfficeDrop it really shows off the hard work the development team puts into the product!

William Higgins is an ECM technologist for a major financial institution in Atlanta, GA. So, he knows what he’s talking about when he discusses managing content and cloud based technologies. His post is called “Scanning Documents to the Cloud with OfficeDrop.

William writes about OfficeDrop on his blog, augusthiggins.net. He says, “I work with Enterprise Content Management (or ECM) systems for a living and have an extensive background in Imaging or Document Capture.  But yet, at home I struggle to find a good way to capture important documents and keep them intelligently organized.”

Of course, this is where OfficeDrop enters the picture!

He starts off by showing how he uses ScanDrop to scan to the cloud, “The user interface is styliezed like the newer Microsoft Office applications with the menu ribbon at the top.  OfficeDrop makes good use of Folders and Labels…”

The he goes on to explain how to use OfficeDrop’s cloud filing system to organize and quickly find documents, “If foldering and labels weren’t enough, OfficeDrop also creates full-text searchable PDF files of the scanned documents you store in the cloud.  This means that even if you don’t spend the time organizing your documents in folders or adding lables, you can still do a “Google”-like fuzzy search of your document contents.”

Review of ScanDrop Scan to Cloud Software

Edward says:

“I am a big fan of Evernote and use it to store all of my reference material (as explained in the GTD methodology). One of the key requirements to my online storage strategy is converting paper into PDF and getting it into Evernote as simply and quickly as possible.

A while back I found a free software called ScanDrop which did exactly that. I use it to scan paper directly from my Brother multifunction device and then upload it straight into my Evernote [For Google Docs users, it supports that service too] inbox ready for processing. It supports a whole range of scanners.”

“When the Bottom Line Is Buried in Paper”

OfficeDrop’s customer, Unique Cleaning Services, was interviewed by the New York Times Small Business Section about how they use OfficeDrop to decrease the their company’s dependence on paper.

Willie “Toney” Sellers, Jr., President of Unique Cleaning (and Wayne Goodman, his CFO) spoke with David Freedman of the Times. With an operation distributed around 13 states and Puerto Rico, Unique Cleaning needed help managing all the paper generated from employee travel, customer invoices and vendor paperwork. Mr. Sellers operates Unique Cleaning Service, a janitorial and maintenance firm based in Marietta, Ga. With about 50 employees servicing nearly 200 commercial and government client sites spread across 13 southern states and Puerto Rico, one of the company’s largest non-salary costs is travel, especially for the firm’s four constantly on-the-road quality-control inspectors. “We were having a lot of trouble tracking and finding receipts,” said Mr. Sellers. “If the I.R.S. challenged us, we’d be spending a lot of time digging through papers.”

The company first looked into buying scanners and special software designed to make it easy to organize scanned receipts, like the NeatReceipts offerings you may have seen at airports. But while that sort of solution seems appealing for a modest flow of paper receipts, Mr. Sellers feared it would be insufficient for the torrent his employees were generating. He pictured employees sitting around for hours feeding receipts into scanners and leaving the company with a mess of online documents.

Turns out, though, you can outsource your paper problems. A company called OfficeDrop lets you ship your boxes of paper receipts and other documents to them, and they’ll scan the mess and make it all available online as organized, searchable documents. Unique Cleaners now uses OfficeDrop for all of its receipts, as well as for all of its customer and vendor paperwork. “We try to get everyone to deal with us by e-mail, but not everyone is set up that way,” Mr. Sellers said. In fact, even when orders, invoices and other transactions do come via e-mail, the company forwards them to OfficeDrop, so it can add them to the scanned documents to provide a single, integrated, organized view of all documents. Mr. Sellers doesn’t even want the papers back for archival storage — he just has OfficeDrop shred them.

Unique Cleaning pays OfficeDrop about $100 a month, and Mr. Sellers figures he’s freed up his office’s administrative assistant from having to spend a chunk of her day dealing with paper, making it a good deal in his eyes for that reason alone. The bigger payoff might actually come from avoiding potential audit, order and invoice problems related to misplaced paper, but it can be hard to judge what cost to assign to that risk. Perhaps it’s enough to say that if you’re concerned about it, you probably should do something about it.

In a recent blog post on http://blog.imarkcomm.com, a long time OfficeDrop user listed the 4 web tools he “can’t live without.”

It’s a bold statement, so we were very flattered to see that among his list (which included big names like Google Apps) he included OfficeDrop – describing it as working “great in conjunction with Google Docs.

Listen to Prasad’s Radio Interview

You might have heard about OfficeDrop CEO, Prasad’s radio interview last week; he was interviewed by loyal OfficeDrop customer, Greg Skidmore, on his AM1490WGCH radio show, Greenwhich Entrepreneurs.

Greg asked some great questions and Prasad fielded them all with helpful answers. A few of Greg’s questions (paraphrased):

  • What has changed to allow companies to offer web services at a lower price?
  • How do you find the right balance between technology and human interaction with respect to customer service?
  • What was your youth like and what inspired your entrepreneurial spirit?

We are pleased to announce the recent publication of a customer success story, “LNK Partners Saves Time, Space and Centralizes Documents with OfficeDrop’s Document Management Service.”

The customer, LNK Partners, a New York-based private equity firm focused exclusively on the consumer and retail sector, uses OfficeDrop to manage its administrative documents online. OfficeDrop receives LNK’s paper-based administrative documents via mail, scans them, converts the paper to fully-searchable Adobe PDFs and stores them online. With the OfficeDrop document management service, the LNK’s team members can quickly search for any keyword or phrase to access a document, no matter where they are.

The case study is a conversation with Bethany Chadwick, Director of Operations at LNK.
