OfficeDrop CEO and Cloud Computing Expert Prasad Thammineni has just published a piece on Small Business Trends about evaluating the value of cloud services, in particular cloud storage. Entitled “Business Value: Scratching Beneath the Surface of the Cloud,” Prasad writes about how the cloud has evolved over the past several years from a special place for techies to a valid means of conducting important business workflow for small business owners and their employees. From the article: “The cloud becomes more valuable for small businesses when offering services beyond the current state of commoditized storage. As we saw with business software years ago, and recently with valuable apps for business, the benefits of paid services often outweigh the benefit of getting them for free.”

He finished up the article with some pointers on how to best choose cloud products:

“Features like cloud search, easing workflow and collaboration options are the services many businesses will latch onto. Some questions to ask yourself are:

Does your cloud storage provider drastically change your everyday workflow?

Does this cloud storage provider provide you with collaboration tools for your team?

Does your cloud storage provider have desktop, mobile and tablet accessibility?

Is the main draw of a particular cloud storage provider the amount of space it gives you?

Does your cloud storage provider have a simple explanation for how your files will be secure in the cloud?”

Check out the piece!

OfficeDrop recently was reviewed in PC World by Brad Chacos. In particular, we are really happy that Brad liked OfficeDrop’s new web interface and updated UI.

Brad describes how OfficeDrop users can get files into the service, mentioning:”You can upload your files in several different ways. The most impressive method entails using the OfficeDrop apps for iOS and Android to take a picture of a document, which is then saved as a searchable PDF that can be crawled by the service’s OCR technology. It even works with handwritten notes, though your chickenscratch may vary. Or, you could email a file to (yourOfficeDropNameHere)@myofficedrop.com to upload it to your account. Any file type can be uploaded to OfficeDrop’s servers…. The SugarSync-esque OfficeDrop Sync desktop client for Mac and Windows PCs lets you cherry-pick any individual local folders to sync with the Web via an “OfficeDrop Sync” option added to your PC’s right-click context menu”

We love the way Brad summarizes the review:”OfficeDrop’s new HTML5 Web client may be the feature that caught our eye, but it was the service’s much improved feature offerings that convinced us to stick around. Between the myriad uploading options, powerful OCR technology and greatly expanded storage plans, OfficeDrop is a strong contender for any SMB looking to digitize their documents and free themselves from the tyranny of physical filing cabinets. ”

If you haven’t tried the updated OfficeDrop UI, please sign in now and see what we’ve done to make the online experience better. If you don’t have an account, you can sign up for a free plan on our digital filing system pricing page here.

To Save Important Files from Doomsday, Act Now and Let the Cloud Protect Your Files

Cambridge, MA. — November 26, 2012 — A recent webinar by cloud storage provider, OfficeDrop, was quickly and unexpectedly taken over by those who believe doomsday is imminent on December 21, 2012. Webinar participants held a common theory that, as the Mayan calendar ends next month, so will the world as we know it. Those who voiced questions had similar a similar concern: “Is the cloud a good strategy to save my documents after the Apocalypse?”

Calmly understanding the concern, OfficeDrop vice president, Healy Jones fielded questions on how to best approach a Mayan doomsday, from a document-management viewpoint. “The big thing is [that] you want to get your files and docs into the cloud now, before the Apocalypse – which is why we have OfficeDrop sync,” explained Jones in the webinar.

Jones, who was later contacted for questioning insisted the public know that OfficeDrop sync is available for both Mac and Windows, what he described as a “common courtesy.” It appears Jones is no stranger to the Mayan Apocalypse belief, airing another opinion: “The only reason this should be newsworthy is that people actually attended a webinar, nobody attends webinars! The chances of the Mayan Apocalypse actually happening are greater than someone attending a webinar.”

Know as meticulous and precise keepers of time, the Mayan civilization has pinpointed December 21, 2012 as the end of the 13th b’ak’tun, a time that marks both an apocalyptic change and rebirth of Earth. Flimsy paper documents aren’t expected to survive, those which do will certainly become unorganized and unusable.

Jones points out that through optical character recognition (OCR), files uploaded into OfficeDrop’s cloud before December 21 will be searchable by word, phrase or number in the OfficeDrop search box. This allows users to focus on more pressing matters, like securing family, food and firearms, rather than remembering document names.

It’s clear that Jones has a professional strategy to access his important personal and business documents after the Mayan Apocalypse. As an expert on both the cloud and world-changing doomsday events, one has to wonder – What does Healy Jones know that he’s not telling us?

ZDnet has a good piece on how small businesses can use IT to boost productivity. They list 5 tips on how SMBs can leverage IT to increase the productivity of their workforces. We happen to love the first two points, as they are parts of the OfficeDrop solution that our business owners are really embracing:

Digitized Workflow – we agree that having important tasks done digitally, vs the traditional (slow) paper method provides a major boost to small business productivity

Mobile Access – as we’ve blogged before, small businesses are leading mobile IT adoption, mainly because they are seeing that their employees are much more productive on the go when they have quick and secure mobile access to important files.

Check out the ZDnet video below on how small business is using technology to become more productive:

Interested in using technology to make your SMB better? One of the most compelling features of OfficeDrop’s cloud storage solution is our file search engine. For many of our clients, full text file search has become the most important tool in their company’s organizational/retreival toolbox. Anything that they need they can simply type into a search box and they’ll not only be shown the list of files matching the query, they’ll also get thumbnail previews of the files that will let their employee pick the correct one right away. Previews matter a lot when dealing with scans, because scanners don’t always pick names that make sense; many of scanned files are named funny strings of numbers based on the date that the item was scanned. With OfficeDrop, PDFs & scans are made fully text searchable, and files with text like Word documents, PPT’s and more are also full text searchable. So it’s easy to find words, numbers, phrases within my files. OfficeDrop’s web file search engine is currently our leading edge file search interface. I can easily add in search modifers like searching for files modified “yesterday” or “3 months ago to today,” by file type like “pdf” or type “audio.” It’s pretty amazing what can happen you can do cloud search on all of your files.

This October, OfficeDrop used our Facebook Page to celebrate Office Dogs – doggies that make the office (and home office) more enjoyable. We created the commotion to have some fun, but most importantly, to raise awareness for our friends at The Animal Rescue League of Boston, which rescues, recuperates and adopts pets daily. Thanks to submissions from the community, OfficeDrop made a donation to ARL Boston in the name of our winner, a Labradoodle name Asher Doodle. You can read more on our BostInno channel here.

Thanks to everyone who submitted photos of their cute office dogs! It’s great to know that there are so many dogs out there making so many offices and people happy.

Our recent visit to ARL Boston reaffirmed our passion to help animals in need. With a general residency of 100, they depend on an extensive network of volunteers, donations, and of course, people looking to adopt pets!

Right now, ARL is busy prepping for the holidays and they need help decorating their Holiday Tree. The tree will be displayed in front of the Boston Center for the Arts on Tremont Street in the South End. For donations as little as $5, you can place a ribbon on the tree to help support animals. For a little more, ARL will feature your pet’s photo on an ornament for everyone to admire. Donations are due by December 5 and can be submitted here. The tree lighting event will be held on December 8, follow @ARLBoston on Twitter for details.

Lots of ink (digital ink, I guess) has been used to write on how large enterprise software is the “next big thing.” The latest read on this topic was on TechCrunch. However, one thing we at OfficeDrop have noticed is that small businesses are starting to lead technology adoption – in particular mobile adoption. I think we’ll see more and more of small business mobile solutions creep into the enterprise as end users within enterprises start bringing technology in with their BYO devices. Since it’s easy for a individual within a big company to sign up for a small mobile or SaaS app, they will likely choose products that have effective marketing directed towards entrepreneurs/small business owners. On my personal blog, I’ve written about how small businesses are embracing mobile technologies; from one of those previous posts:

“2/3 small businesses have seem increased efficiency from mobile technologies and 60% believe that mobile technologies are completing functions that other technologies can not accomplish. This is pretty exciting, as it proves that mobile will create new, exciting markets that have never before been contemplated! Wahoo mobile developers!

Interested in seeing where OfficeDrop believes that enterprise mobile technology will end up? Check out our mobile apps! OfficeDrop’s smartphone scanner apps let you scan paper on the go and automatically upload PDFs into your OfficeDrop account. If you want to learn more about the apps, you can learn about the OfficeDrop android scanner app or the OfficeDrop iPhone PDF app here. Also, a couple of weeks ago we announced the first OfficeDrop Android Tablet App, which is a great way to not only scan paper, but access your documents from anywhere. Get the apps by clicking on either of the following buttons from your mobile device:
